Car Replacement Service

Breakdown or Accident? Don’t Worry – We’ve Got Your Replacement Ready

Imagine this: you’re on a self‑drive safari in Akagera National Park, miles from the nearest town, and your rental car gets a flat tyre that can’t be repaired. Or you’re heading to an important client meeting in Kigali and another driver rear‑ends your vehicle. Your day shouldn’t stop because your car does.

At Rent Car Kigali, our car replacement service is designed for exactly these moments. When you rent from us, you’re not just getting a vehicle – you’re getting a promise: if your rental car becomes undriveable due to a mechanical breakdown, accident, or other covered event, we will bring you a replacement car as quickly as possible. No long waits. No arguments about who pays. Just a seamless swap so you can continue your journey.

This service is included automatically with every rental – self‑drive, chauffeur‑driven, long‑term lease, or corporate account. It works in conjunction with our 24/7 roadside assistance. From flat tyres to engine failures, from minor fender benders to major collisions, we have protocols to get you back on the road.

Let us explain how our car replacement service works, when it applies, and why it gives you peace of mind anywhere in Rwanda.

What Is the Car Replacement Service?

The car replacement service is our commitment to provide you with a substitute vehicle when the car you originally rented cannot be driven safely. The replacement is typically of the same or similar category (economy, SUV, 4×4, minibus, etc.), subject to availability.

This is not a towing service alone – although we do tow the disabled vehicle. It is a complete “swap” solution: we bring a working car to your location, transfer your belongings, and take the damaged or broken car away for repairs.

The service is available for all rentals, from daily hires to long‑term leases. It covers:

  • Mechanical breakdowns (engine, transmission, electrical failure, etc.)

  • Tyre damage that cannot be fixed with the spare (e.g., multiple punctures, sidewall blowout)

  • Accidents (at‑fault or not‑at‑fault) that render the vehicle undriveable

  • Vandalism or theft of car parts (e.g., stolen battery, cut brake lines)

  • Natural events (flood damage, fallen tree, etc.)

It does not cover running out of fuel, lost keys, or driving on prohibited roads against our rental agreement (e.g., off‑road tracks where 4×4 was required but not used). However, even in those cases, we will still offer recovery and a replacement – at your cost.

Why Our Car Replacement Service Gives You Peace of Mind

1. Free Replacement for Mechanical Failures (Not Your Fault)

If the car breaks down due to a mechanical issue that is not caused by misuse (e.g., a faulty alternator, overheating due to a manufacturing defect), we provide a free replacement car and cover the cost of towing the original vehicle. You pay nothing extra.

2. Accident Replacement – We Get You Moving Fast

Even if the accident is your fault, we will still bring you a replacement car as soon as possible. You will be responsible for the insurance excess (deductible) and any towing fees not covered by insurance. But you won’t be stranded. For not‑at‑fault accidents, we often waive the excess and expedite the replacement.

3. Guaranteed Response Time

  • Within Kigali city limits: Replacement car delivered within 2 hours (often faster).

  • Within 50 km of Kigali (e.g., Rwamagana, Bugesera): Within 3 hours.

  • Upcountry (Musanze, Rubavu, Karongi, Akagera, Nyungwe): Within 4–6 hours, depending on location and road conditions.

  • Remote areas (Gishwati, northern Akagera, border zones): We will give you an estimated time upon your call. We may also arrange a replacement from a partner garage closer to you.

4. 24/7 Hotline – One Call Does It All

Our roadside assistance and replacement service is available 24 hours a day, 7 days a week. You call the same number you used to book: +250 788 439 022. A real person answers. We will:

  • Assess your situation.

  • Dispatch a tow truck or mobile mechanic (if fixable on‑site).

  • Prepare a replacement vehicle from our nearest depot or partner.

  • Provide an estimated arrival time.

  • Stay on the line until help arrives.

5. We Bring the Replacement to You – You Don’t Come to Us

You do not need to drive to our office or a garage. Our driver will bring the replacement car directly to your location – whether you are stuck on a hillside in Musanze, at a hotel in Rubavu, or on the side of the road near Akagera. We also bring the paperwork to transfer the rental.

6. Transfer of Belongings and Documentation

Our team will help you move your luggage, camera gear, and personal items from the broken car to the replacement. We update the rental agreement with the new vehicle’s details, including the odometer reading and condition. Your remaining rental days, deposit, and insurance coverage carry over seamlessly.

7. Replacement for Long‑Term Leases and Corporate Fleets

For corporate clients and long‑term lessees, we prioritise replacement vehicles to minimise business disruption. We keep a pool of dedicated “hot swap” cars for this purpose. In many cases, a replacement is delivered within 90 minutes in Kigali.

8. Upgrade Option (Subject to Availability)

If your original vehicle category is not available, we will offer you the next available category at no extra cost (or a downgrade with a partial refund). For example, if you rented an economy sedan and only an SUV is available, you get the SUV for the same price.

When and How to Request a Replacement

Immediate Steps if Your Car Becomes Undriveable

  1. Ensure your safety. Pull off the road if possible, turn on hazard lights, and move away from traffic.

  2. Call our 24/7 hotline: +250 788 439 022 (also WhatsApp). Do not try to arrange a tow or repair on your own – we need to coordinate.

  3. Provide the following information:

    • Your name and rental agreement number (if you have it).

    • Your exact location (use Google Maps pin or describe landmarks – “10 km south of Musanze on the main road to Kigali”).

    • What happened (breakdown, accident, flat tyre, etc.).

    • Any visible damage or warning lights.

    • Number of passengers and luggage (so we bring a suitable replacement).

  4. Stay near the vehicle unless it is unsafe. Our team will call you back with an estimated arrival time for the replacement and tow truck.

  5. When our driver arrives: We will inspect the original car, take photos, and complete a damage report (if accident). Then we transfer your belongings to the replacement car. You sign a short swap form. You continue your journey.

What to Do in Case of an Accident

  • First, call the police (Rwanda National Police – 112) if there are injuries or significant damage. Obtain a police report – this is required for insurance claims.

  • Take photos of the accident scene, the other vehicle(s), and any damage to our car.

  • Then call us. We will guide you on the next steps. If the car is still drivable, we may ask you to drive to the nearest police station or to a designated garage. If not drivable, we will dispatch a replacement.

Important: Do not leave the scene without a police report if required. Our insurance may not cover hit‑and‑run or unverified claims.

What Is Covered – And What Is Not

Covered (Free Replacement for Mechanical Failures)

  • Engine or transmission failure (not due to lack of oil or misuse).

  • Electrical system failure (alternator, starter, battery – unless drained by leaving lights on).

  • Cooling system leak / overheating (not caused by ignoring warning lights).

  • Brake failure (except if due to driving with handbrake engaged).

  • Fuel system issues (clogged filter, pump failure – not running out of fuel).

Covered (Replacement Available, Costs May Apply)

  • Flat tyre – if the spare tyre is also damaged or you have multiple flats. You pay for tyre replacement (unless it’s a manufacturing defect). We bring a replacement car, and a tow truck takes the original.

  • Accident (at‑fault) – replacement provided, but you pay the insurance excess and any towing fees not covered.

  • Accident (not‑at‑fault) – replacement provided, we waive the excess. We will help you claim from the other party’s insurance.

  • Vandalism – replacement provided, but you may be responsible for a damage excess if you left the car unlocked or in an unsafe area (assessed case by case).

Not Covered (Replacement Available at Your Cost)

  • Running out of fuel – we can deliver fuel (at market price + delivery fee) but no replacement car unless you also have a breakdown.

  • Lost keys or keys locked inside the car – we can send a locksmith or spare key (fee applies). Replacement car only if keys are unrecoverable (e.g., lost in a river) – you pay for new key programming.

  • Driving on roads prohibited in your rental agreement (e.g., taking a sedan on a 4×4‑only track) – we will recover the car and may provide a replacement, but you pay full cost of recovery, repairs, and a higher excess.

  • Damage from reckless driving (e.g., proven DUI, street racing) – replacement may be denied; you will be liable for full repair costs.

Replacement Service for Different Rental Types

Self‑Drive Rentals

You are the driver. If you have an issue, follow the steps above. We will bring a replacement car directly to you. You continue your self‑drive itinerary with minimal interruption.

Chauffeur‑Driven Rentals

If the vehicle breaks down, our chauffeur will call our dispatch immediately. A replacement vehicle and driver will be sent. You remain a passenger – we handle everything. Your schedule is disrupted as little as possible.

Long‑Term Leases (1 month+)

For lease clients, we keep dedicated replacement vehicles in our fleet. In Kigali, we guarantee a replacement within 90 minutes during business hours, 3 hours overnight. For upcountry lease vehicles, we can deliver a replacement from the nearest regional depot (we have partners in Musanze and Rubavu). You may also choose to keep a second vehicle on standby for a reduced rate.

Corporate Accounts

Corporate clients receive priority replacement. When you call, your account manager is notified. We have pre‑approved credit limits, so you do not need to pay a new deposit for the replacement vehicle. For fleets of 5+ vehicles, we can provide a dedicated “spare” car that is pre‑assigned to your account (available for a reduced monthly retainer).

Real Scenarios – How Replacement Service Saves Your Trip

Scenario 1: Flat Tyre in Akagera (No Spare)

You rented a Toyota RAV4 for a self‑drive safari. You hit a sharp rock, and the tyre is shredded. You change to the spare, but 20 km later, the spare also fails (old or damaged – rare, but possible). You call us. We dispatch a replacement RAV4 from our Kigali depot (3 hours away). Meanwhile, we arrange for a tow of your original car to a garage in Kibungo. You continue your safari with the replacement car. You lose half a day, but you are not stranded.

Scenario 2: Minor Accident in Kigali

You are driving to a wedding in a luxury sedan. Another driver runs a red light and hits your front bumper. The car is drivable but the bumper is hanging. You call the police, then us. We send a replacement sedan within 90 minutes. You swap your formal wear and gifts into the new car. You arrive at the wedding 20 minutes late instead of missing it entirely.

Scenario 3: Engine Overheating on the way to Nyungwe

You are climbing the winding roads to Nyungwe Forest. The temperature gauge spikes and steam comes from the hood. You pull over, call us. Our mechanic diagnoses a burst radiator hose (not your fault). We cannot fix it on‑site. We dispatch a replacement SUV from a partner garage in Huye (1.5 hours away). You wait at a nearby tea shop. The replacement arrives, you transfer your luggage, and you continue to your lodge – you only lose 2 hours.

Scenario 4: Long‑Term Lease Vehicle Stolen

You have a 6‑month lease on a Land Cruiser for your NGO work. One night, the vehicle is stolen from a secure parking lot. You report to police and call us. We verify the police report. Within 24 hours, we deliver a replacement Land Cruiser to your office. Your lease continues uninterrupted. We handle the insurance claim for the stolen vehicle.

Frequently Asked Questions – Car Replacement Service

Is the replacement service automatically included?

Yes, for every rental from Rent Car Kigali. There is no extra fee for the service itself. However, if the breakdown or accident is your fault, you may be responsible for costs (excess, towing, etc.) as per your insurance terms.

How long does it take to get a replacement?

Times vary by location. In Kigali city, we aim for 2 hours or less. Upcountry, 4–6 hours. For very remote areas, we will give you a realistic estimate. We always attempt to find the fastest solution, sometimes using partner garages closer to you.

What if no replacement car is available in my category?

We will upgrade you to a higher category at no extra cost, or downgrade with a partial refund. If no vehicle is available at all (extremely rare during peak seasons), we will reimburse you for a taxi to your destination and a rental from another agency (up to a reasonable limit), then refund the remaining days of your rental.

Do I need to pay another security deposit for the replacement car?

No. Your original deposit remains valid. We transfer the deposit and any excess coverage to the replacement vehicle. For corporate accounts, we simply update the vehicle details in the system.

Can I request a replacement even if the car is still drivable but has a problem?

Yes – for safety or comfort reasons. For example, the air conditioning fails, or a window won’t roll up. We will assess. If we agree it significantly affects your experience, we will arrange a replacement (may take longer if not urgent). If it is a minor issue (e.g., one speaker not working), we may offer a discount or a later replacement.

What if the breakdown happens after hours (midnight)?

Our 24/7 hotline is staffed at all times. We will dispatch a replacement. For after‑hours requests, response times may be slightly longer (e.g., 3 hours in Kigali instead of 2), but we will never leave you waiting until morning.

Does the replacement service apply to cross‑border rentals (Uganda, DRC, Tanzania)?

Yes, but with longer response times and potential extra fees. We have limited partner networks outside Rwanda. We strongly recommend that for cross‑border trips, you purchase additional roadside assistance coverage from a regional provider. Contact us before your trip for a custom solution.

Will I get the same model of car?

We will provide the same category (e.g., SUV, economy). Specific model may differ (e.g., a RAV4 instead of a Fortuner). If you absolutely need an identical model (e.g., for a film shoot or corporate branding), we will do our best but cannot guarantee. In such cases, we may offer a spare vehicle from the start for a small fee.

What about the fuel in the broken car?

We will note the fuel level. For the replacement, we provide a full tank. You will be charged for the fuel used in the original car (full‑to‑full policy adjusted). If the original car is towed and cannot be refilled, we will calculate based on estimated remaining fuel.

How do I return the replacement car at the end of my rental?

You return the replacement car to the original drop‑off location agreed in your rental contract (e.g., your hotel or Kigali airport). We will inspect it and refund your deposit as usual. The broken car is already in our possession.
